Flare Therapy is an Australian occupational therapy practice providing mobile occupational therapy services to children, teens and young adults.

We do not publish a residential or office address, as Flare Therapy is a mobile service without a public premises.
2. Information we collect
Depending on how you interact with us, we may collect:
- Name;
- Email address;
- Telephone number;
- The age of the person requiring support;
- Funding type (e.g. NDIS plan-managed, NDIS self-managed, private, or Medicare Chronic Disease Management);
- The contents of any enquiry message you send us;
- Health, disability, behavioural, or other sensitive information you voluntarily include in an enquiry or referral;
- Referral and service information received through our external referral form, hosted by PracSuite;
- Information provided by clients, prospective clients, parents, guardians, nominees, support coordinators, clinicians, and other authorised referrers, on a participant's behalf;
- Ordinary website usage information, collected through Google Analytics only after you have accepted analytics cookies.
3. How we collect information
We collect personal information when you:
- Submit an enquiry through our website contact form;
- Submit a referral through our external PracSuite referral form;
- Email us;
- Telephone us;
- Communicate with us directly, or receive services from us; or
- Browse our website with analytics cookies accepted (Google Analytics only — see Section 12).
4. Why we collect, use and disclose your information
We collect, use and disclose personal information to:
- Respond to your enquiry;
- Assess whether our services may be appropriate for you or the person you are enquiring about;
- Process referrals;
- Communicate with clients and their representatives (parents, guardians, nominees, support coordinators, or other authorised contacts);
- Arrange and provide occupational therapy services;
- Attend to administration, invoicing, and legal, insurance, and professional obligations;
- Maintain the security of our systems and improve our website; and
- Understand website usage through analytics, but only once you have given consent.
5. Health and sensitive information
Enquiry and referral information may include sensitive information, such as health, disability, or behavioural details, about you or the person you are enquiring or referring on behalf of. This is sensitive information under the Privacy Act 1988 (Cth) and receives extra protection.
We only collect sensitive information where reasonably necessary for the purposes described in this policy, and with your consent (given, for example, by submitting our enquiry form) or where otherwise permitted by Australian law.
If you are a parent, guardian, nominee, support coordinator, clinician, or other referrer providing information on behalf of someone else, please only provide information you are authorised to share.
6. Service providers and disclosures
We share personal information with the following service providers, only for the purposes described in this policy:
- Resend — delivers our website enquiry-form emails to us, and may process information in the United States.
- Google Workspace / Gmail — our business email account, where enquiry emails are received and held.
- Vercel — hosts and operates this website, and may process operational information overseas, including in the United States.
- Google Analytics — receives website usage information, but only after you have accepted analytics cookies.
- PracSuite — hosts our separate, external referral form and, for Australian customers, stores that data in Australia.
We may also disclose information to professional advisers, insurers, and government or regulatory authorities, where reasonably necessary or legally required.
This website does not maintain a separate client database purely for enquiry-form submissions. However, enquiry emails are still retained within Flare Therapy's business email account, and may be processed by the service providers described above (in particular Resend, in the course of delivering the email, and Google Workspace/Gmail, where it is received and held).
7. Overseas processing
Some of the service providers described in Section 6 may process information outside Australia. In particular:
- Resend may process information in the United States;
- Vercel may process operational information overseas, including in the United States;
- Google Workspace/Gmail and Google Analytics may process information in the United States and other countries where Google operates.
PracSuite stores Australian customer data onshore in Australia.
8. Storage, security and retention
We use reasonable technical and organisational safeguards to protect personal information from misuse, loss, and unauthorised access. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
We retain personal information only for as long as reasonably necessary for the purpose it was collected, and to meet any legal, clinical, insurance, or record-keeping obligations that apply to us.
9. Access and correction
You may ask us what personal information we hold about you, and request access to or correction of it, by contacting us using the details in Section 1. We may need to verify your identity before actioning a request.
10. Privacy complaints
If you have a concern about how we have handled your personal information, please contact us using the details in Section 1. We will acknowledge and investigate your complaint within a reasonable period.

11. Children and representatives
Information about a child or other participant may be provided to us by a parent, guardian, nominee, or other authorised representative. Whoever provides that information must be authorised to share it.
12. Cookies and local storage
Our website uses only the following:

Necessary website functions do not require you to accept analytics cookies. You can accept, reject, or later change your analytics preference at any time via the cookie banner or the cookie settings link in our website footer.

Our website links to external services, including our PracSuite referral form. Those services have their own privacy practices, which we encourage you to review.
